Event Tab 3: Customization

Customization is the third tab of information on the event record. This tab allows you to specify which special requests and sessions are available for the event.

Special Requests

Special requests are activities, appointments, and accommodations for which the event registrants may optionally ask (e.g. classroom visits, overnight accommodations, etc.).

To make requests available for the event:
  1. All requests that are available for your department will be shown in the Available Requests list, grouped by Request Type. You can click the minus (-) sign beside the Request Type to collapse the list of requests beneath it, or click the plus sign (+) beside the Request Type to expand the list of requests beneath it. 
    Note:
     If you need additional Request Types or Requests for your event, you will need to create them separately.

  1. For each of the special requests that you would like to make available for the event, select the request from the Available Requests list, then click the right arrow to move the request to the Selected Requests list.

  2. To remove a request from the Selected Requests list, highlight the request and click the left arrow to move the request to the Available Requests list.

  3. To make all requests for a particular request type available, select the name of the request type from the Available Requests list, then click the right arrow to move the request type to the Selected Requests list. All specific requests beneath the request type will be moved.

Sessions

Sessions are activities that occur at a specific time during the event. Often, such as in a "breakout session," registrants will be allowed to choose one session from multiple sessions offered during a particular time slot.

   

Note: Sessions are not available when creating a recurring event. After the recurring event is created, you can edit each recurrence individually to add sessions, if desired.

To make sessions available for an event:
  1. All sessions that are available for your department will be shown in the Available Sessions list, grouped by Session Type. You can click the minus (-) sign beside the Session Type to collapse the list of sessions beneath it, or click the plus sign (+) beside the Session Type to expand the list of sessions beneath it. 
    Note:
     If you need additional Session Types or Sessions for your event, you will need to create them separately.

  1. For each of the sessions that you would like to make available for the event, select the session from the Available Sessions list, then click the right arrow to move the request to the Selected Sessions list. For each session type, you will be required to assign a Session Start Date/Time and End Date/Time. Once you have assigned a Date/Time to a session type group, you will not be prompted to enter the Date/Time again if you select additional sessions from the same session type group.

  2. To remove a session from the Selected Sessions list, highlight the request and click the left arrow to move the request to the Available Sessions list.

  3. To make all sessions for a particular session type available, select the name of the session type from the Available Sessions list, then click the right arrow to move the request type to the Selected Sessions list. You will be prompted to enter the Session Start Date/Time and End Date/Time. All specific sessions beneath the session type will be moved.

  4. If you wish to change the date/time for a selected session type group, select the name of the session type from theSelected Sessions list. Make desired changes to the Start Date/Time and End Date/Time and click Save.

  5. After making all desired request and session selections, click Next to move to the next tab and continue setting Event options.

Note: If you add sessions to a default event, you will be required to select a time and date for the session. However, only the session types and names will transfer to a new event record. You will have to edit the session in the new event record to add the appropriate date and time.

Navigating the form:
  • Previous - moves to the previous tab of information on the event form.

  • Cancel - exits the event record without saving changes.

  • Next - moves to the next tab of information on the event form.
