Event Tab 2: Event Scheduler

Event Scheduler is the second tab of information on the event record. Complete the fields on this tab as follows:

Event Schedule

  • Select one of two radio button options to describe your event:
    • One-time event - an event happening only once on a specific date and time. The event may last multiple days and may offer sessions with specific times during the event.
    • Recurring Event - a single-day event that takes place on several dates. See more about Recurring Events.
  • If the event is an all-day event, having no specific start and end time, click the All-Day Event checkbox. Note that an event may be an All-Day Event regardless of whether it is a one-time event or recurring.
  • Select the appropriate Start Date and End Date for the event.
    • One-time events - If the event is a single day, use the same date for each option. To select the date, click on the drop down box to the right of the start and end date labels. A calendar will appear. Using the calendar buttons, select the start and end date for the event.
    • Recurring events -  Click on the Recurring Event Calendar icon to the right of the Recurring Event label. A calendar will appear in a new window. Select the dates of the event by clicking on the checkboxes to the left of each date. You can move between months by clicking on Previous or Next links at the top of the page beside the month label.
      Note:
       Recurring events must be single-day events.
  • Enter hour and minutes in the boxes next to Start Time and End Time. Identify whether the hour and minute selections are AM or PM. Note the following:
    • If you have checked the All-Day Event checkbox, you will not see options for Start Time and End Time.
    • For a one-time event that spans more than a single date, there will be only one start time representing the beginning of the event on the first day and only one end time representing the close of the event on the last day.

Note: If you are creating a default event, you must enter Start Date/Time and End Date/Time, even though these values will not be transferred to a new event.

Registration Requirements

  • If the event will require registration, check the Require Registration checkbox. If registration is not required, leave the checkbox unchecked.
  • If the event requires registration, select the radio button beside one of the registration date options and complete the date/time information as follows:
    • Default registration: This option allows registration to begin as soon as you finish creating the event and end on the event start date at the event start time. This option may be used for both one-time and recurring events.
    • Specific Registration: This option allows you to set a specific calendar date and time for registration to begin and end. This option is available only for one-time events. To select start and end dates for registration, click on the drop down box to the right of the start and end date labels. A calendar will appear. Using the calendar buttons, select the Start Date and End Date for registration.
    • Enter hour and minutes in the boxes next to Start Time and End Time. Identify whether the hour and minute selections are AM or PM. 
      Note:
       The Registration EndTime must be before or equal to the Event StartTime.
    • Variable Registration: This option allows registration to begin and end relative to the event date and time. This option may be used for both one-time and recurring events. To select Start Date, indicate the number of days, weeks or months that registration should begin relative to the event start date. Select the number of days using the up and down arrows and choose days, weeks, or months from the drop down box. Indicate the Start Timeselection by typing the hour and minutes in the time box and selecting AM or PM from the drop down. Similarly, select the number of days, weeks or months that registration should end relative to the event end date.
  • Click Next to move to the next tab and continue setting Event options.

Note: If you are creating a default event, no changes to the default registration requirements will be transferred to a new event.

Navigating the form:
  • Previous - moves to the previous tab of information on the event form.

  • Cancel - exits the event record without saving changes.

  • Next - moves to the next tab of information on the event form.
