Managing Registrant Special Requests

As Requests are made, they need to be confirmed. Confirming a Special Request means the request has been acknowledged and arrangements have been made to honor the request. For example, the student might request to meet with a Soccer Coach. Once the time and location for this meeting are determined, and a host selected, you should make this request Confirmed. This will trigger the appropriate confirmation emails to the Host and Registrant. This will also remove the Request from the Unconfirmed Request View. To assist in managing Requests, there are three views available to users under Event Management/Registrant Special Requests:

  1. Active Registrant Special Requests - This view will display all Special Requests for events scheduled today or in the future.
  2. Inactive Registrant Special Requests - This view will display all Special Requests for events scheduled in the past.
  3. Unconfirmed Requests - This special view is used to identify any Special Requests made for future events that have not yet been marked as Confirmed.

To confirm a Request: 

1.    Find and open the unconfirmed Request one of the following ways:

To find/view unconfirmed Registrant Special Requests from a master list

From the Ouutreach Menu, click on Event Management and Registrant Special Requests.

In the pane, change the view from the default (usually Active Registrant Special Requests) to Unconfirmed Requests.

You will see a list of ALL Unconfirmed Registrant  Special Requests across all Events. Use the sort/filter functions to narrow the list, if desired.

Find and open the Registrant Special Request you wish to confirm.

To find/view unconfirmed Registrant Special starting from the Event:

Find and Open the Event.

In the left menu, Click Special Requests.

In the left menu, Click Registrant Requests.

To find/view unconfirmed Registrant Requests from the Event Registration

Find and open the Event Registration.

In the left menu, click Registrant Special Requests.

Find and open the Registrant Special Request you wish to confirm

2.    Add Host Information, if appropriate.

3.    Change the Request Status to Approved.

4.    Save and Close.

5.    Once the status has been changed to Approved and the records has been saved, the system will send the Confirmation Email attached to the Event to the email address on the Registrant’s Person Record,  and will send the Host Confirmation Email attached to the Event to the email address on the Host’s Person Record.
