Trips

A Trip is a collection of Travel Events bound by a Start Date and End Date. A Trip might be created in the case of a staff member attending several travel events within a specific time period. For example, if a staff member is attending several College Fairs within a specific time period, then a Trip is created. A Travel Event would represent each College Fair and would be attached to the one Trip.

Creating a new Trip

  1. In the Navigation Pane under Travel Management click on Trips.
  2. Click New in the Action Tool Bar.
  3. Enter the Trip Name.
  4. Select a Staff Assigned, Start Date, End Date and Trip Description.
  5. Click Save.

Tabs on the Trip form

The General tab contains basic Trip information such as the staff assigned to the trip and the start and end date. It also contains a list of all travel events associated to the trip.

The Map tab gives point to point directions to all the travel events associated to the trip.

The Notes tab can be used to enter any additional information about the trip.

Additional Resources

Additional Person or Staff resources can be added to a Trip or Travel Event. Adding a Person Resource requires the resource to have a Person record.  Adding a Staff Resource requires the resource to have a User record.

Adding Additional Person Resources
  1. Within the Trip or Travel Event click on Person Resources.
  2. Click Add Existing Person in the Action Tool Bar.
  3. In the new window, click the lookup button to search for the Person record. Once you have found the person, highlight it and click OK.  If the person does not appear in the lookup, you can add the person by clicking New and adding information to the Person record.
Adding Additional Staff Resources
  1. Within the Trip or Travel Event click on Staff Resources.
  2. Click Add Existing User in the Action Tool Bar.
  3. In the new window, click the Lookup button to search for the User record. Once you have found the user, highlight it and click OK.

Reports

Travel Management has two standard reports, Itinerary Report and Event Results.  The Itinerary Report is a summary of the Trip and all the Travel Events within a Trip.  The Event Results report is a summary of the results of all the Travel Events within a Trip.

To run a Travel Management report:
  1. In the Navigation Page under Travel Management click on Trips.
  2. Double click on the Trip to open the Trip record.
  3. Click on the Reports menu and select Itinerary Report or Event Results.
  4. The report will generate in a new window.
