Standard Reports

New! CollegeBoard has made significant changes to the SAT. The first administration of the updated test was on March 5 and those scores became available on Monday, May 9.

Ruffalo Noel Levtiz has reports to assist clients in evaluating official test scores for students. If clients utilize high score in student evaluation, we recommend use of one of new reports that will be provided. Please review the instructions below on how to run reports and general information on all standard reports. 

The following new reports related to ACT/SATs can be run from the list of Standard Reports

  •  EM Official Scores – This report displays all official ACT/SAT scores for a group of students based on filter criteria. The filter criteria is similar to Advanced Find. Due to the volume of data, we strongly recommend that the report be filtered by Entry Term, Opportunity Type and Opportunity Status Category or Value.
  • EM Highest Official Scores – This report displays the Max ACT/SAT scores for a group of students based on filter criteria. The filter criteria is similar to Advanced Find. Due to the volume of data, we strongly recommend that the report be filtered by Entry Term, Opportunity Type and Opportunity Status Category or Value.

 The following updates and enhancements were previously in Standard Reports

    Standard Interest Report

  • As an enhancement, the Standard Interest Report will now include a Street2 field for the address.

    Standard Opportunity Report

  • As an enhancement, the Standard Opportunity Report will now include a Street2 field for the address.

    Standard Profile Report

  • The Standard Profile Report has been updated to ensure that fax records will appear correctly on the report.
  • The Standard Profile Report has been updated to ensure the activity exclusion for the “Communication Flow from College” category.
  • The Standard Profile Report has been updated to no longer show “Subject” for email activities.
    Standard Status Report
  • The performance of the Standard Status Report has been improved to ensure that the report can be run from Enrollment Manager.
There are several standard reports delivered with Enrollment Manager. These are reports that cannot be built using the standard Report Wizard because of one-to-many records or due to the layout of the data.
How to Run a Standard Report

The standard reports can be accessed from Reports on the Workplace menu. Open the report by double clicking on the report name.

Before the report is displayed, the records to display on the report need to be selected. The report filter is used to select the group of records to display on the report. Each of the main entities of the report will be visible to select criteria from. Similar to an Advanced Find, other entities can be accessed by selecting criteria for related records. Default criteria are selected for each report but can be changed each time you run the report. After selecting the criteria, click on "Run Report" to view the report.

How to Change the Sort Order

Each detail report will default to a particular sort order. Each has multiple options for sorting the records though. After opening a report, there will be a drop-down box available at the top to select a sort order from. Once you have selected a sort order, click on the "View Report" button.

How to Change the Title on the Report Display

The title displayed on most of the standard reports can be modified. After opening a report, there will be a field at the top to enter the new title to display on the report. To activate this field, uncheck the "NULL" box. After entering the new title, click on the "View Report" button.

How to Change the Default Filter

Some reports have a default filter that is set on the definition of the report. This can be modified by anyone with Report Management permissions or by Support. This change is then made for for all users of the report. 

Additional Information
  • To refresh the data on the report, click on the "View Report" button. This will rerun the report to display the most current data.
  • The data on the standard reports in real-time.
  • If a report is refreshed or the sort order or title is modified after the report has been idle for more than ten minutes, an error may appear. If an error with text similar to the following appears, return to the report filter area and run the report again. Error message: "Execution 'addady45fsehewuamz4e5r55' cannot be found (rsExecutionNotFound)" 

List of Standard Reports

RC  - Org Report (NEW!)

PurposeThis report is designed to export your entire Organization table. Though the default filter is set to 'Status=Active', you can change the filter to limit your results. 

Data Displayed

  • Organization Data: Name, ID, Address, Phone, Fax
  • Primary Contact
  • Organization Details: Control, Category, Rating, Contact Methods

Additional Information

This report was designed to be exported, thus the width of the report headers may be greater than the screen display. A full report layout is attached below.

Standard Financial Aid Report 

Purpose: This report provides information on Award records in a printable format.

Data displayed:

  • Award data: Award Type, Award Amount, Award Category
  • Opportunity data: Staff Assigned, Entry Term, Opp Status, Opp Type, Major
  • Person data: Name, Contact Information
  • Person Org data: Active Organization
Standard Interest Report

Purpose: This report provides a list of records with a particular interest in a printable format.

Data displayed:

  • Interest: Includes the interest(s) selected from the report criteria
  • Opportunity data: Staff Assigned, Entry Term, Opp Status, Opp Type, Major
  • Person data: Name, Contact Information, High Score
  • Person Org data: Active Organization, Rank, Class Size, GPA     
Standard Opportunity Report

Purpose: This report provides information on opportunity records in a printable format.

Data displayed:

  • Opportunity data: Staff Assigned, Entry Term, Opp Status, Opp Type, Major
  • Person data: Name, Contact Information, High Score
  • Person Org data: Active Organization, Rank, Class Size, GPA
Standard Status Category Counts by Staff and School

Purpose: Provides counts of opportunities by Staff Assigned and Person Org.

Data displayed:

  • Counts of opportunities by Staff Assigned and Status Category
Standard Status Report

Purpose: This report is designed to provide a good weekly overview of current status by Term, Type, and Status Category as compared to last year.

Data displayed:

  • Counts of opportunities by Status Category and Term

Additional information:

  • This report uses parameters to select records rather than using the report filter. Select the criteria from the drop-downs that appear when opening the report, then click the "View Report" button.
Profile Report

Purpose: This report provides an overview of Student information in a one page* printable format.

Data displayed:

  • Person data: Including Name, Address, contact information, Race, etc.
  • Opportunity data: Staff Assigned, Entry Term, Opp Status, Opp Type, Major
  • Scores: All official scores including subscores
  • New! A new section has been added to show the Max ACT/SAT scores. 
  • Person Org data: Organizations including official GPA, Rank, etc.
  • Interests: Including Interest Categories and values
  • Recent Activities: The ten most recent activities (not including System or Communication Flow)
*This report may exceed one page if there are a large number of scores, person org records, or interests. Because of the complexity of the report, it's designed to be run for one student at a time from the Opportunity Record. Batch reports can be run on a maximum of 10 records although optimized for one record at a time.
