Quick Campaigns

Use Quick Campaigns to communicate directly with your constituents on the fly, such as by sending e-mail, or to assign activities to others to complete, such as making phone calls as part of a Telecounseling campaign.
To execute a Quick Campaign you will need to: 
  1. Select the records you wish to use in the Quick Campaign
  2. Launch the Quick Campaign Wizard
  3. Complete the steps of the Quick Campaign Wizard
  4. View your Quick Campaign Results
  5. Manage your Quick Campaign Activities 
Select the records for your Quick Campaign:
Quick Campaigns can only be run for Person records. You can select the records by using an Advanced Find or by creating and populating an Outreach List
Launch the Quick Campaign Wizard:
You can initiate the Quick Campaign Wizard from several different points in the application:
  • If you are in the Person area:  Select your Advanced Find view.  Select at least one Person. Click the Add tab and click Create Quick Campaign. Indicate if you want to include Selected Records, All records on Current Page or All Records on All Pages. 
  • If you have run an Advanced Find and are displaying the results:   Select at least one Person. Click the icon on the top ribbon for Quick Campaign. Indicate if you want to include Selected Records, All records on Current Page or All Records on All Pages.
  • If you have an Outreach List open:  Go to the Add tab and select Create Quick Campaign.
  • If you are in the general Outreach List area: Select an Outreach List. Click the icon on the top ribbon for Create Quick Campaign.
Complete the steps of the Quick Campaign Wizard
Once the  Quick Campaign Wizard is  launched, you will be prompted to complete the following steps:
  •  Specify the  Campaign Name: For example: Calls to Admitted Students in Georgia, Incomplete Apps, Honor Scholarship Finalists
  • Select what type of activity to create: Typically this will be Phone Call, as in the case of a Telecounseling campaign. These Activities will be created as open activities.
  • Select who will own the activities that will be created and if the activities should be added to a Queue: By default the user who creates the Quick Campaign will be owner of the activities. However this won't necessarily affect the ability of someone else to work on and/or complete the Activity. In this step you should also indicate if you want the Activities to be added to a specific Queue.
  • Specify the content of the activity: Set the Activity Category, Activity Value, and Due Date. For Telecounseling campaigns, you may wish to put a script in the Description field.
Once the related Quick Campaign activities have been created, they will be
  • posted with as status of Open in the related Person record until completed 
  • tracked in the Quick Campaigns area
  • assigned to a Queue, if this option was selected in the Quick Campaign wizard
View/Manage your Quick Campaign Activities
You can view your Quick Campaign results by going to the Quick Campaigns area. The Quick Campaigns area is under the Outreach menu in the top section.
Within the Quick Campaigns area, find and open the desired Quick Campaign. Note: You may need to change the view to find the Quick Campaign. By default the view of this area is 'My Quick Campaigns' which shows those Quick Campaigns where you are the owner.  
Use the menu on the left to view the following parts of the Quick Campaign 
  • Information: Includes the Subject, Created on date, Owner, Status Reason, # of Activities created
  • Activities created: In the case of Telecounseling campaigns this will be a list of all the Phone Call activities created
  • Persons selected: This will be a list of the Person records associated with the Activities.
Manage your Quick Campaign Activities
Quick Campaign activities where you are the owner will show up in your Activities area (Workplace). However you may prefer to manage the Activities using the Queues functionality.
Queues operate much like inboxes and allow you to organize the Activities for which you are responsible and/or dole out Activities for others. For example, you can move Activities into your personal Queue, then you can organize and view them in terms of which are available for you to work on and which you are currently working on. You can also move items into the personal Queues of other users or into a Queue where several users have shared access.
