2012 Product Updates

September 2012

This month we have new ways to get your job done faster using the new score entry and the improved home page. If you like to analyze your marketing efforts, take a look at the new Heat Map in Email Marketing. These updates will be deployed the weekend of September 29 with no expected down time.

Subscore Data Entry

New fields have been added to the Score record to make it much easier to add subscores. This is particularly helpful when entering SAT, ACT, or other standardized test scores manually. To use this new function, simply save your Parent Score (such as SAT) and then add Subscore Names and Scores in the same window. In performance testing, we've found this new method to be at least 2x faster than the previous method. Details      Video Tutorial

Home Page Performance Enhancement

The Home Page in Enrollment Manager provides a perfect 'start page' for many users that need quick access to search for student or organization records. In one location you'll find access to all saved views as well as search functions for Persons, Opportunities, and Organizations. This page has been updated to improve performance and now displays up to 35x faster than the previous version. Try it today by clicking on Home in your Workplace menu. You can also save this as your default start page by going to File/Options/Select your home page. 

Email Performance Heat Map

This new report provides a great visual look at where email recipients clicked in your email. Using heat spots, you can now see which links were hottest in terms of click volume. To see this, simply open any mailing that has been previously sent. You'll see the Heat Map option on the menu. Details

Other Updates and Fixes

Standard Status Report - Updated to allow 2013 Entry Terms.

Travel Management Reports - Various fixes and improvements including new Primary Contact information, improved mapping functions, and improved sorting.

Advanced Find - Updated to include the Trip Lookup field in Travel Management.

Social Toolbar

How often is your message being shared? With the new Social Toolbar, you and your audience will know! When sending a mailing you have a new option which allows you to include a social sharing toolbar at the top of your email. This toolbar allows recipients to share the emails on their Twitter or Facebook account. Also, the toolbar displays the number of times this email has been previously shared by other recipients. 

Merge Fields on Templates and Definitions 

All available merge fields are now available when editing a mailing template and a mailing definition. This makes it even easier to plan your communications ahead of time and launch personalized communications on the fly using prepared messages. 

I didn't know Enrollment Manager could do that!

This month we're highlighting Mobile Express. This free service is available to all Enrollment Manager users and provides easy access to student information from ANY mobile device including iPhone, Android, Blackberry, iPad, and more. To get started, simply browse to your mobile site and login.

Document Management

How would you like to review ALL of your documentation online? You'll find information in the Knowledge Base that explains the different ways you can 'go paperless' including the new Document Management service. This new optional service provides the ability to store documents on the Opportunity, Person, or Organization record. This new functionality includes document indexing, search, and version control. 

Google+ Integration     

Social Networking options are growing and so is our integration. Google+ is one of the fastest growing options fueled by the growing number of Google-powered Android phones. In recognition of this growth, the standard Social Sharing links withing Email Marketing now include Google+ (as shown above). 

Email Scheduling

Users have always had the ability to send messages immediately or schedule them in the future. Even when scheduling in the future, however, the data from your Outreach List would start processing immediately. A new option is now available to Delay List Synchronization. This feature allows you to add or remove records in an Outreach List even though the message is already scheduled. Or, you can schedule a series of messages and let workflow manage the add/remove process prior to the scheduled send. Details

I didn't know Enrollment Manager could do that!

This month we're highlighting Address Verification. This optional service is available to Enrollment Manager users to assist with address cleanup and assure improved deliverability for your print mailings. This process matches data from your database to the US Postal Service database to clean up errors, fix abbreviations, and correct spelling. Complete documentation is available in the Knowledge Base. Common Application Update

Each year The Common Application is updated which requires updates to the Enrollment Manager import process supporting this data. Enrollment Manager support for Common App 2012-2013 imports requires development effort from both The Common Application data team and RuffaloCODY. These changes are now scheduled and the following timeline is in place:

August 1 - This is the first day the new CA is available to students

August 2 - This is the last day to import CA records into Enrollment Manager using the 2011-2012 format

August 6 - This is the first day to import CA records into Enrollment Manager using the 2012-2013 format

Important Security Update: SSN Masking
Enrollment Manager will be updated to exclude Social Security Number from default forms and views. This update will be implemented this weekend. For staff members that need to see this information within the application, a new security role has been created to allow access. Your Virtual Enrollment Coordinator can assist with adding this role to the appropriate users.

As part of our ongoing effort to improve infrastructure performance, maintenance will be taking place on Saturday, June 23 beginning at 7:00 PM EST. During this period, some of the redundant servers will be powered down briefly. Since these are redundant, we don't expect any 'down time' but performance could be less than optimal during the process. This process is expected to take less than two hours.

Spring 2012

Enrollment Manager Spring 2012 Update: New Password Management Function

As part of our ongoing infrastructure updates, Admissions Lab is happy to announce the Spring 2012 Update. This update introduces new capability for users to manage their own passwords without requiring help from Admissions Lab staff. In addition, this new feature will use the user’s full email address as the user name, making that easier to remember. This update will begin this week and will be rolled out to everyone by early next week. Your system administrator will be contacted with the specific time for you.

For those of you using Internet Explorer with high security, the following domain will need to be added to your trusted sites: powerobjects.net. This addition should be made as soon as possible to handle the update smoothly.

In addition, each user will have to create a new password to go with their updated user name the first time they log-in to Enrollment Manager after the update. Details about this very simple process can be found at the link listed below.

Although this is not specific to or required by this update, we remind you that Enrollment Manager performance is optimized for Windows 7 and Internet Explorer 9. Clients who have upgraded from older versions have seen significant performance improvements in Enrollment Manager.

Enrollment Manager 2011 Infrastructure: More improvements coming
As you're aware, we've been continually working on the Enrollment Manager infrastructure in an effort to improve performance and reliability. This work will continue throughout the next several weeks and we'll keep you informed of any necessary maintenance windows for upgrades. We're attempting to make all of the upgrades with little or no disruption to service. As always, you can check the System Status page for updates. 

Secure FTP Changes: Important details on new address
As was announced in December, the FTP address has been changed for schools using Secure FTP to transmit data to Enrollment
Manager 2011. The new address is ftp://orgname.ftp.422x.com where OrgName is equal to your login URL. For instance, Greenville
University would use ftp://gu.ftp.422x.com. This new address has been live since December and the old address will be discontinued
this weekend. Please make any changes necessary to your existing systems and let us know if you have any questions. 
 
Best Practices Webinar: Email Deliverability: Register NOW!
Next week we'll be offering the first in a series of Best Practices Webinars focusing on specific topics to help you get the most out of Enrollment Manager. This time we'll focus on the factors that go into Email Deliverability. This includes reputation, authentication, content, and permissions. You'll also learn about the proper use of search names, the dangers of purchased lists, and what REALLY matters when it comes to landing in the Inbox.

Standard Export: New Fields Coming Soon
As was announced over the past three months, Enrollment Manager 2011 includes new fields and functionality that you may want to use for external systems. In support of that, we're adding many new fields to the Standard Export and Advanced Export. These changes will be rolled out February 25, 2012. If you currently use the Standard Export for integration and reporting, you can see the updated documentation in the Knowledge Base. 

Optimizing Advanced Export: Upcoming change to activities
For clients that use Advanced Export, you're already aware of updates made to improve performance. In 2012, we'll be making a change to the way activities are managed by no longer replicating activities found in the System Activity Category. System Activities are those activities that are typically unimportant for reporting and integration, such as merge activities or data import activities. All other activities dealing with communication, applications, scores, etc will continue to be replicated. This change will further help with performance.

The Best Feature You Probably Haven't Used: Subscription Center
Our Product Update will now include a Best Feature You May Not Have Used. This is to make you aware of great features that you
may not have had time to implement or investigate. For this issue, the feature is Subscription Center. Subscription Center is
a powerful but very simple feature to implement and helps you empower your email subscribers to choose the type of email they
want. This can help LOWER unsubscribes and improve communications. To implement, there are only a few simple steps:
  1. Go to Outreach/Mailing Subscriptions and create categories for your email. Typical categories may include Campus News, Athletics, Admissions Communication, etc. 
  2. For all new Mailings, select the appropriate Subscription type relative to the email content.
  3. For all new Mailings, include a link to Manage Subscriptions using the Subscription Center Code Snippet.
When students click that link, they'll have the option to select the types of communications they're interested in, or unsubscribe
completely. If you try to send the student a message they've opted-out of, they'll be removed from your Outreach List prior to
sending. That's it! 

Comments
