2010 Product Updates

December 2010

New Travel Management Functionality
This month you'll see new Travel Management entities on the Outreach menu. This new functionality allows you to create Trips which are used to organize Travel Events such as college fairs or high school visits. This new functionality includes integrated mapping, automated appointments, and new reports.

Mobile Analytics
For users on the go, the mobile client now has new functionality including five popular analytics reports. Mobile reports include Mobile Dashboard, Moobile Profile, Mobile Date Comparison, Mobile Conversion Report, and Mobile Comparison Report. This provides easy access to your critical data from anywhere on your smart phone.

Additional Address Correction
This Fall we introduced an the Address Correction Service to  assist with student addresses. This month we've expanded the service to include all Organization addresses.

Home Page Enhancement
Last month we introduced the new Home Page for improved access and usability. This month the page has been improved by changing the sort order for saved views. If you haven't yet used the Home Page, try it out today. If you find it useful, you can make it your default 'start page' when you login.

Descriptive Analytics Enhancements
Several new changes have been rolled out in Descriptive Analytics including the following:
Dashboard Report: A new stage is now available within the filters for 'Completed Applications'. This new stage can be displayed throughout the funnel, charts and graphs. Labels have also been changed on this report from 'Current and Goal' to 'Current Class and Reference Class' for clarity.
Date and Detail Reports: These reports now have High Schools available in the 'Show in Rows' functionality. In addition, the GPA field has been expanded to two decimal places.

New Outreach List Processing Option
In an effort to improve Outreach List performance, the Mail Merge export has been modified to generate less data per record. By default, the export will now include only Person-related data (name, address, phone, email, etc). If your mailing requires all of the previous data options (including opportunity data), you can select the option for Extended Data. For mailings where you only require an address, however, you'll experience much faster performance.

Opportunity Merge Enhancements
The Opportunity Merge process has been enhanced in several ways to improve the process:
Application Requirements: Requirements are now recalculated automatically for the Parent Opportunity.
Notes Merging: Notes are now included in the Merge process and will appear on the Parent Opportunity.
Merge Completion: The merge process will now automatically close the opportunity window and refresh the opportunity list when the merge completes.

Infrastructure Updates
While they aren't visible to users, changes have been made within the application to improve Outreach List processing (post and clear procedures), and Workflow processing to improve performance.

Event Module Updates
Several requested updates have been made within Events to improve Requests and Sessions.

New Standard Profile Report
A new report has been deployed to provide a 'profile' for a student. This report provides comprehensive data including information from the Person, Opportunity, Scores, and PersonOrg records all in one report.

No Place Like Home
You now have a new item on the menu: Home. This page is designed to provide easier access to the information you need by providing search functions and access to your saved Advanced Finds all in one place. To make this the first thing you see when you login, you can change your settings by going to Workplace->Personalize Workplace.

Search Enhancements 
A key goal in the design of Enrollment Manager is to give you easy access to the data you need. In addition to the new Home Page, the Person Search functionality has been enhanced to include new options:

New fields used in search- Prior Last Name and Preferred Name (nickname) are now included with a quick search. 
Additional search options- You can enter a geomarket, Home Phone, Social Security Number, or State in the search box to find the record you're looking for without creating an Advanced Find.

Address Correction
Enrollment Manager now offers an optional Address Correction Service. With this service, we will update the Street, City and State fields according to USPS guidelines for improved deliverability for every Person record in your database. The service is $1500 per year and can be started immediately. Contact your Enrollment Operations Manager for more information or to order this service.

Universal College Application Import
Enrollment Manager now supports the Universal College App, a service from Applications Online. Unlike the Common App, The Universal College App is available to any college. It does, however, offer benefits similar to The Common App. If you would be interested in this option, contact your Enrollment Operations Manager for information on set up and domain mapping.

Advanced Export: 64-bit Support
The Advanced Export is now available in a 64-bit version supporting the latest servers and desktops. Contact your Enrollment Operations Manager for more details on the Advanced Export and how it might help with integration and reporting on campus.

ZIP+4 and County Updates
You may have noticed some changes in your addresses within Enrollment Manager. In September we released new processing to update all Zip/Postal Codes and the County field for all addresses. Each time an address is added or changed in the system, a background process will analyze the address using US Postal Service data to assign the appropriate ZIP+4 and County. This functionality is to support our ongoing Adaptive Modeling
projects being developed with funding from the National Science Foundation.

Address Correction
In addition, Enrollment Manager now offers an optional Address Correction Service. With this service, we will
update the Street, City and State fields according to USPS guidelines for improved deliverability. Contact your Enrollment Operations Manager for pricing information or to order this service. 

Restricted Access Role
A new Restricted Access security role is now available for specific Enrollment Manager users. This role has
read-only access to most information but limited access to financial aid information. This role has the ability to create new activities and can have access to data entry forms, but cannot create or modify other existing records. This role is best suited for users involved in telephone campaigns, users answering phones or email, or staff members around campus that need very basic functionality. Licenses for this role are available at a discounted rate. Contact your Enrollment Operations Manager if this role will be useful to your organization. 

Universal College Application Import
We're currently developing support for Universal College App, a service from Applications Online (http://www.applicationsonline.com). This will provide another online application option that will be supported by Enrollment Manager. Unlike the Common App, The Universal College App is available to any college. It does, however, offer benefits similar to The Common App. If you would be interested in this option, contact your Enrollment Operations Manager for information on setting up lookup/mapping values. Support for this Import will be begin in October.

ACT 2010-2011 Support
The latest updates to ACT Import supporting the new 2010-2011 format are now in place and operational. If you are not using this import and would like more information, refer to the knowledge base for more information. 

Enhancements to Advanced Export
Advanced Export has two new changes as requested by users. First, the interface has changed to provide
easy access to edit the local configuration options such as file locations. Second, the Advanced Export now includes Notes (from the Notes tab within Enrollment Manager) information from Opportunities, Persons, or Activities.

At this point we'll also be removing many of the standard Microsoft Dynamics reports that aren't part of Enrollment Manager. 

Common App 2010-2011 Import Support
For clients using the Common App import in Enrollment 
Manager, the application will support the new 2010-2011 format beginning August 
30. Before uploading your first file, contact Support to be sure your 
updated domain value mapping is in place.

ACT 2010-2011 Import Support
Final work is being done to prepare for changes in 
the 2010-2011 ACT file format. For clients currently using this import, you will receive information regarding updated 'lookup mapping' next week. If you have never used the ACT Import but would like to, contact your Enrollment Operations Manager to have this setup.

Documentation: Outreach Processing

As requested by clients, we've updated the Outreach List processing section of the User Guide to provide more detail. Specifically, we've improved the documentation on the expected behavior related to Mail Merge and Bulk Email processes. 

Duplicate Management: Opportunity Merge

New functionality is now available to assist with duplicate management: Opportunity Merge. This new functionality assists you in merging duplicate opportunity records. With this process, you identify the duplicate opportunity and merge it with the Parent Opportunity, automatically moving over all activities, interests and awards. Further details are available in the User Guide. 

Advanced Export: Now Available

All clients have access to the daily Standard Export, available via FTP download each day. In addition to the Standard Export, we now offer the Advanced Export. The Advanced Export is a new product that helps you maintain a local copy of Enrollment Manager data on campus in a relational database. This local copy includes all of the most common data without the record limitations of the Standard Export. The data in your local database gets updated each night with the latest changes from Enrollment Manager. 
If you have already purchased Advanced Export and are ready to implement, contact your Enrollment Operations Manager to setup your installation. 

End of Cycle: Getting Ready for Fall 2011

Get ready for the Fall 2011 recruitment cycle! Clients are strongly advised to these following steps to close out the 2010 enrollment cycle. 
1. Move Opportunities to a terminal status and close as ‘Won’ or ‘Lost’.
2. Specify the end-of-term date, which will be used to determine which data in included in the Standard Export. 
3. Reassign/Update Territories
4. Review/Update Workflow Rules and clear Outreach Lists 
5. Review/Update Default Settings for Imports and Analytics
6. Review/Update Online Forms 
7. Review/Update Event Registration Manager Values

Activity Category Domain: Change to Domain Value

The Activity Category domain value formerly known as Miscellaneous has now been updated to System. This will have no affect on existing processes, workflows, advanced finds, etc. This has been changed to better define the type of Activities that should be represented in this category-- those that have no real impact on student interaction or communication. A typical use for this will be an activity indicating a merged opportunity record. More details on the intended use of Activity Categories is available in the User Guide. Details

As we've been announcing in previous updates, four new fields have been added to the person record that will also be available in the Standard Imports and Exports. Since these are not required fields, there is no reason to alter your current Standard Import files unless you want to include these new fields. These new fields are:

  - Felony Conviction (Y/N) 
  - Deceased (Y/N) 
  - How did you learn about us (Domain Value)

Introducing... Enrollment Manager from Admissions Lab

Even though the name is new, Enrollment Manager is actually the latest version of Continuum 422 CRM. Don't worry, all the CRM tools you know and love are still there. We just spruced things up a bit and added some exciting services. You're already familiar with most of Enrollment Manager:

    * Tools built on Microsoft's Dynamics CRM Platform to manage your enrollment pipeline and wow students with multi-channel communication capabilities.
    * Campaigns designed to help you communicate more effectively and build life-long relationships with students.
    * Analytics for evaluating the health of your enrollment pipeline and yielding your best fit class.

In addition, we've added a Virtual Enrollment Coordinator-- a real admissions/technology expert who will be there to assist you in completing key admissions-related tasks, giving you time back to focus on what matters most-- making your class! You'll be hearing more about this in the weeks to come but if you're eager to learn more, visit our new web site at www.admissionslab.com. That's right, we've returned to our roots, re-branding 422 Group as Admissions Lab.

Standard Reports: New Formats and Functionality

You'll see new versions of your favorite reports including reports for Interests, Financial Aid, and Opportunities. These new formats include:

    * Improved formatting: Formatted for printing
    * New Sort Options: Giving you control over how your data is sorted within each report

Events: Enhancements

Several enhancements have been made in the events portion of Enrollment Manager including:

    * Registration Card: New fields added for Student (Opportunity) Type and Entry Term
    * Registration Form: Default Country will now display during registration
    * Registration Form: Graduation Date has been moved to the second tab

Standard Export: Performance Improvements

As announced last month, the Standard Export is being modified to improve performance. While most of the changes are 'behind the scenes', the one big difference you'll see in your file is that it's much smaller. Going forward, the export will only include data for active terms (not previous terms). If you need to retain data from previous terms, you should save a current copy of your Standard Export for historical purposes. This change will go into effect May 29.

Advanced Export: Documentation Now Available

For schools interested in exploring the Advanced Export, documentation is now available including a data dictionary. If you missed it last month, here is more information about the Advanced Export:

Mobile Express: Now Part of Enrollment Manager

Earlier this year we announced the availability of Mobile Express, giving you access to Enrollment Manager data from any web-enabled phone such as iPhone, Windows Mobile, Blackberry, Android, or other smart phones. What can you do with Mobile Express?

    * Look up a high school to see the students who are prospects or applicants
    * Quickly find the address, phone or email for any school, counselor, student or parent in your database
    * Check the status of any bulk email to send to see deliverability or click through rates
    * Find the status for an applicant including missing requirements

The service uses the same permissions and security roles found in the web client making it safely available to all users. We've now made Mobile Express available at no additional charge. Contact the Admissions Lab Support Team to have this deployed for your institution.

Opportunity Requirements: Change in Behavior

This feature requested by a clientFor organizations using the Complete Requirements Grid, a modification has been made to the process. Previously, requirements updated using the grid were shown as 'Modified By: System'. Going forward, the 'Modified By' will note the User that made the change.

Events: Performance Enhancements

Several performance enhancements have been made in the Events module and more are coming this weekend. This wil result in faster response times within the application and on the web site for registration.

Analytics: New Pivot Table Report

Client RequestThis report is for data mongers only! If you like your data raw and know how to use Excel Pivot Tables, you'll love this new report. We've built a standard way for you to download data in aggregate form that opens directly in a pivot table for manipulation. This new report is found in your Analytics menu.

Person Record: Primary Organization Update

Client RequestAs you may know, the Person record includes a field called 'Primary Organization'. While this is different from the PersonOrg records stored, a new procedure has been put in place that updates this value to equal the Active PersonOrg record. This is particularly useful in creating Advanced Finds and Reports, as you'll now have access to the Active PersonOrg without the need to use a child table. This value can also be included in your Advanced Find 'Export to Excel'.

Person Record: County in More Addresses

Client RequestAn update has been made to include the County value to be imported and displayed for all addresses. Previously, this was only available for the primary address displayed. Additional addresses are visible in the Person Record under More Addresses.

Coming Soon: Advanced Export

Continuum Access: Microsoft Outlook Client 

For schools interested in using the Outlook client to access Continuum, a new version is available at Microsoft.com. There is guidance available in the User Guide for installing and using this feature. We recommend that you try this feature with one or two users to learn about the functionality before rolling it out to all staff members. This functionality works with Outlook 2007 and offers nice features for integrating Continuum with your daily work by synchronizing email, tasks and appointments.

Analytics: More Custom Fields

Previously the first three filters throughout Analytics were standard and the next three were customizable. The standard filters included Race, Gender and First Activity. Now all six filter fields are customizable across all Analytics pages to suit your specific needs. If you wish to make any changes to your filters, contact 422 Support. 

Analytics: Suspect Category

The Suspect category for the Admission Stage filter, previously available only on the Profile page and Comparison page, is now available everywhere that the admission stage filter appears. This includes the individual tables on the Term and Date pages.

Analytics: Additional Map Functionality

A new legend feature has been added to the Profile Page Map. Previously, the map allowed five 'intervals' of colors displayed showing you visibility by state at five different levels. Now you may designate anywhere from 3-10 intervals to color code the states, giving you various levels of granularity to view your population.

Analytics: New SAT Total fields

SAT Totals are now available in Analytics. You can see this addition on the Profile page and in any page where there is a calculation operation such as the Date, Detail and Comparison pages. This SAT Total appears as an additional option in the Show Me drop down for the calculation operation. The SAT total score is the same as the High Score SAT total initially set in CRM during your implementation; this can be the sum of Mathematics + Critical Reading or Mathematics +Critical Reading +Writing.

Organization Names: Updates

As announced last month, updates have now been made to replace organization names in the current standard organization database with names as provided in the most recent list of high schools and colleges from The College Board. The update included organizations that have had recent name changes, corrections to some organization names in the standard set that had incorrect values and spellings, and in some cases minor changes to abbreviations used in the organization name.

Standard Database: Zip Code : Geomarket Table Updates

Continuum has been updated to include 412 new zip codes and 2203 updated zip codes mapped to geomarkets in your database. These new zip codes are provided by The College Board as part of an update to their standard Geomarkets. These changes were for geomarkets in Idaho, Illinois, Missouri, Ohio and Virginia.

Reports: New Status Report

A new 'Status Report' is now available as part of your Standard Reports. This report is designed to provide a good weekly overview of your current status by Term, Type and Status Category as compared to last year.

Forms Data Manager: Search by Form Reference ID

Each time a student submits data using an inquiry or application form, the Form Reference ID is passed as an ID record connected to the Person record. Using this ID, you can now search for the original record using Forms Data Manager. In Forms Data Manager you'll see this new option in the Customer Service Search function.

Continuum Access: Microsoft Outlook Client 

For schools interested in using the Outlook client to access Continuum, a new version is available at Microsoft.com. There is guidance available in the User Guide for installing and using this feature. We recommend that you try this feature with one or two users to learn about the functionality before rolling it out to all staff members. This functionality works with Outlook 2007 and offers nice features for integrating Continuum with your daily work by synchronizing email, tasks and appointments.

Opportunities: New Advisor Field

A new field has been added to the Opportunity record allowing you to track the Advisor assigned to the student. This field is connected to the Person entity so you can select any Person in the database as the Advisor. This data is also available in the Outreach List Export for use in mail merge.

Interface: Menu Changes

Several changes are being rolled out to the application interface. For those with Administrator access, you'll see a new menu item in your navigation called Admin. This new section includes the Public Links, Data Import Utility, and Workflows. This is also where the Administrator can review current Domain Values. In addition, access to the User Guide/Knowledge Base is available to all users throughout the application on the main Continuum Toolbar under 'Help'.

Imports: Data Import Utility

The new Import Utility allows you to upload your files for import without the need to use FTP. This new function, found in the Admin menu, works for ACT, SAT, Standard, and CommonApp files. You'll see the number of records uploaded and a log of previous uploads.

Organizations: Updates to Organization Names

An update is available to replace organization names in the current standard organization database with names as provided in the most recent list of high schools and colleges from The College Board. The update includes organizations that have had recent name changes, corrections to some organization names in the standard set that had incorrect values and spellings, and in some cases minor changes to abbreviations used in the organization name. Note that since organization names in the updated list are as provided by each institution, there may be inconsistencies in how certain words are abbreviated. This update will be applied on MONDAY, MARCH 15. If you DO NOT wish to have the organization names in your database updated, please notify 422 Support by FRIDAY, MARCH 12. Examples of changes to organization names include:

  • Alexandria HS > Alexandria High School
  • Wilmington College > Wilmington University
Bulk Email: Source Code for Templates

There are seven delivered bulk email template layouts available in Continuum. If you need to create custom bulk templates with a slightly different layout, but aren't sure how to start, we've made these seven templates available as HTML for download and editing. In addition, we've added source code for a few alternative layouts for postcards and newsletters.

High Score Calculation: Improved Processing

The High Score Calculation routines in Continuum have been improved to offer faster performance in both hand-entered scores and imported scores.

Bulk Email: Bounce Information

You will now see three new fields to the Person record on the Administration tab:

  • Last Bounce Date: Date of last bounce
  • Last Bounce Type: Type of bounce
  • Last Bounce Send: Email that last bounced

This will provide additional detail on any delivery issues and the data needed to follow up appropriately with students.

Activities: Correction to Posting

Changes will be made this weekend to update activities that were mistakenly posted to the Person record rather than the Opportunity record. This will assist in properly populating Outreach Lists for communications.

NEW Service Offering: SearchTrack for Continuum CRM

SearchTrack is a service offered by 422 Group to assist with building your inquiry pool. The service leverages multi-channel communication to acquire inquiries including bulk email, print communication, and social networking. SearchTrack allows you to track search responses in REAL TIME within Continuum without the need to import/export data or work with external vendors. More information about SearchTrack is available in your User Guide. 

Outreach List: New features

There are two new fields on the Outreach List form that provide greater flexibility regarding posting and clearing the Outreach List. Do Not Post allows you to process the list without posting the activity. Do Not Clear allows you to process the list without clearing the names from the list. Each of these are designed to assist with posting multiple activities to records, sending test bulk emails, or other testing scenarios. 

Phone Campaigns: Outcome field

A new field has been added to the Phone Activity form to assist with phone campaigns. This field allows you to record the outcome of a phone call, such as Left Message, No Answer or Completed. Used in conjunction with Quick Campaigns, this gives you great functionality to organize phone campaigns.
