2009 Product Updates

NOTE: The details in this article are included for archiving purposes only. The content should not be used as a reference for current functionality as the details below may be out-of-date.

December 2009

NEW Service Offering: SearchTrack for Enrollment Manager
SearchTrack is a service offered by 422 Group to assist with building your inquiry pool. The service leverages multi-channel communication to acquire inquiries including bulk email, print communication, and social networking. SearchTrack allows you to track search responses in REAL TIME within Continuum without the need to import/export data or work with external vendors. More information about SearchTrack is available in your User Guide.
NEW Feature: Quick Campaigns
Quick Campaigns leverages functionality delivered by Microsoft Dynamics CRM to communicate directly with constituents on the fly. This is particularly useful when you need to quickly send an email or assign activities to others to complete (such as making phone calls). Further details are available in the User Guide.

Opportunity Requirements: Improved processing
When the application type is set or changed, the defined Application Requirements for the specific Application Type will be created and requirements will be checked against existing activities to be marked complete. This process is now completed immediately when the Opportunity record is saved. If you save the Opportunity record (not Save and Close) after setting or changing the application type, you will need to refresh the record to see the new Opportunity Requirements. Please note that changing the application type for an opportunity that already has requirements will delete the existing requirements and populate with the new requirements.

Status Change Log: Improved processing
All changes in the Opportunity Status are logged in the Status Changes entity associated with the Opportunity. Those postings now occur immediately when the Opportunity record is saved. There is no longer a workflow processing delay for these status change records to be posted.

Imports: Priority Queuing
New functionality has been added to give priority to certain files and records submitted for import. This will prevent larger imports from delaying transactional data such as form submissions, event registrations, or SearchTrack responses. Larger imports will receive lower priority in the queue. Further details are available in the User Guide.

SAT Import: Expanded calculation options
The calculation of the SAT Combined score when SAT score records are imported is controlled by a system setting that indicates which sub-scores should be part of this calculation. The default calculation for SAT imports is Critical Reading + Math. If you wish to calculate this differently (include the Writing sub-score, for instance), contact Support at Support@422group.com.

Bulk Email: Save email as template
This new time-saving feature allows you to save any previous email as a template. When you open your email, you'll now see an option in your toolbar to 'Save as Template'. Further details are available in the User Guide

Bulk Email: Interface enhancements
Bulk email content creation tools have been enhanced for easier creation of Templates, Emails and Surveys. Here’s a summary of the areas that have a new look:

Templates – The process for creating new Templates has been streamlined. When creating a new template, users will be able to fill in the details for the template (name, folder, source), then use updated tools to add content. Users can create or retrieve existing content for the template header and edit the template’s html code even if you are using the standard system templates.
Email – The look and feel of creating new email messages has changed so that users are guided through fewer screens and can quickly fill in the blanks with specific details for their new emails.
Surveys – Creating surveys is easier to manage using a streamlined one-page grid to manage survey questions.
Further details on these changes are available in the User Guide.

Imports: Improvement to address updates
An improvement has been made to the way the import process handles matched address records. If an imported address matches an existing address, the county information will now be added to the existing address record if the county field in the existing address is null. If the county field in the existing address is already populated it will overwrite or not overwrite based on your import settings.

Scores: Form changes
Changes have been made to the Scores tab for each person record. Along with test name and score, the test date and score source are now also required fields.

Activities: Form changes
Enhancements were made to the Activity form to allow for easier creation of activity records. The subject field is automatically populated when the activity category and value are selected. The value populated in the subject field is a concatenation of the activity category and value. The subject field can be changed by a user after the activity category and value have been selected. Since the activity category and value are essential to processing in Continuum 422 CRM, these are now required fields.

Outreach List: Form changes
Outreach Lists have been updated in two ways. First, the Actvity Category and Activity Value are now required fields on the Outreach List. These are critical to assure proper activity posting. Second, when activities are posted they will automatically include a subject line with the following naming convention, Activity Category: Activity Value. This subject can be edited after posting.

November 2009

Bulk Email: Change a template
Changing your logo or email designs is now much easier. You now have the ability to change the underlying template used for any bulk email message. This allows you to create a new template and then simply 'map' your content from previously sent messages.

Bulk Email: Text only messages
Research suggests that sometimes simpler is better when it comes to email design. For this reason, you now have ability to send text-only messages within Bulk Email.

Data Entry Forms: General availability
After going through our testing phase, Data Entry forms are now available for all clients. These forms are designed to streamline inquiry-type data entry by putting all fields on one screen. Each client can have one form as part of their general Continuum contract and additional forms can be added for a fee. More details on the Data Entry forms are available in the User Guide.

Imports: Improvement to relationship creation
An improvement has been made to the import process to better manage the creation of relationships. New steps have been implemented to assure that the child record is not considered during the search/match/update process for relationship records. This is particularly helpful with records where a father and son have the exact same name, address, and other matching criteria.

Outreach Lists: Improved export functionality
Changes have been made to the Outreach List Export functionality (for mail merge) to better handle duplicate records and provide better feedback to the user. The duplicate management functionality has substantially reduced the errors reported through this process. In addition, the interface has been updated to provide improved user feedback during the export process.

Imports: Import Summary email
Each day there are thousands of records imported into Continuum and sometimes a record will match more than one existing Person or Opportunity. We now have the ability to notify someone at your institution when this occurs so you can be more proactive in addressing duplicates. This notification comes in the form of a daily email message. If you're interested in receiving this daily summary, contact support@422group.com.

Infrastructure: Network and Server Upgrades
In an effort to improve overall performance, reliability, and continued growth, new data center upgrades will be taking place this weekend (December 5-6). These upgrades will include additional hardware and will require a brief outage for some clients. Any clients affected by this will be notified in advance.

September 2009

Analytics: All Completed Apps Stage
When selecting an Admissions Stage, you now have the ability to select All Completed Apps. This option tracks opportunities that have a status category of Applicant: Complete or beyond, as compared to 'All Applicants' which tracks opportunities with a status of Applicant: Incomplete or beyond.

Analytics: Net Deposits now available
When reviewing data on the Dashboard Report, you now have the ability to select Net Deposits. This value indicates the number of Total Deposits less the deposits withdrawn.

Analytics: New Merit Calculation
Merit calculations are now available within the 'Show Me' options. Merit is used to track the dollar amounts for Merit Scholarships and is differentiated from the “Grants” calculation used to track need-based scholarships. Please note, the financial aid attributes under the “show Me” options are numeric quantities associated with an opportunity, much like High School GPA or SAT Score. This will enable you to report the average, sum or number with a valid value for financial awards (if loaded into CRM) as filtered by other selection criteria.

Imports: Passcode Parameter for Standard Import
As announced in June 2009, the Standard Import now requires a passcode to be included with your file. Data files uploaded without this passcode will not be imported. Your Passcode was sent to all CRM Administrators in early August. Contact 422 Group Support if you have any questions.

Analytics: High School Data Now Available
A When viewing the Date, Detail, Comparison, or CrossTab reports, you now have the ability see high school information in a row or column. The format for the data will include the CEEB Code and name. Further detail is available in the User Guide.

Events Enhancement: Sessions on Event Details Page
You now have the ability to add your session information to the Event Details page. With this enhancement, the student can see which Sessions are being offered and if the sessions are at capacity. To add this, simply add the Sessions merge field to your Event Description.

Infrastructure: Network and Server Upgrades
In an effort to improve overall performance, reliability, and continued growth, the major data center upgrades we have been working on over the last 90 days were completed this month. This included:
Upgrades to Internet connectivity and redundancy
Upgrades to all server hardware including faster 64-bit processors
Upgrades to Windows Server 2008 R2 (latest operating system)
Upgrades to SQL Server 2008 (latest database server)
Upgrades to our backup and monitoring system
These upgrades allow us to provide performance and continuity of service going forward in to the new recruitment cycle.

August 2009

Social Networking: Forward to a Friend
This is the latest addition to our Social Networking Suite of functionality. Forward to a Friend makes it very easy to spread the word about important news and events. To use it, simply add a Forward to a Friend image (found in your Portfolio) to your outgoing Bulk Email. That's it! When someone clicks on the image, they'll have the opportunity to forward a copy of your message to friends, with an additional personal message attached. The recipients of the forwarded message will have the opportunity to join your mailing list by completing your Continuum 422 Inquiry Form.

If you're currently using Bulk Email and you have an existing Continuum 422 Inquiry Form, you're ready to start using this functionality. If you haven't implemented these functions, contact 422 Group Support for more information. Additional details are available in the User Guide.

Imports: Bulk Import Wizard
This new functionality allows you to import person or organization data to CRM. This is great functionality for clients interested in importing data not already included with Continuum-- such as churches, volunteers, counselors, companies, and civic organizations. This process does not match or update existing persons organizations so it should only be used as a way to import NEW person or organization information. Further details are available in the User Guide.

Reports: New Coach's Report
This new report is perfect for coaches, providing relevant student information filtered by athletic interest, entry term and status. Report data includes name, address, high school, high score, GPA, phone, email and more.

Imports: Passcode Parameter for Standard Import
As announced in June 2009, the Standard Import will require a passcode to be included with your file. This requirement has been delayed until the September release but all clients should be using it now. Data files uploaded without this passcode will not be imported. Your Passcode was sent to all CRM Administrators in early August. Please begin using these right away! Contact 422 Group Support if you have any questions.

Opportunity Requirements: Edit in Datasheet Option
A new option is now available to speed the update of Opportunity Requirements. Rather than opening each requirement individually to enter the date received or 'waived' information. The Datasheet View allows you to enter this information directly in the grid. It is important to note that when entering information this way, activities do not get created. If you utilize workflow driven by these activities (such as transcript received), you should not use the Datasheet View and instead create an activity that automatically marks the requirement as complete. Note that this feature is only made available in CRM upon request.
Event Registration Forms: New Formatting Options
You now have new options available to customize the tabs visible in your online registration forms. You'll find a library of colors and styles to choose from, in addition to styles available for the font within each tab. To start today, go to Event Registration Manager --> Administration--> Configure Form Styles.

Now Available for Testing: Data Entry Forms
In an effort to help you streamline your data entry, Continuum CRM now offers Data Entry Forms to be used for 'heads down' data entry of inquiry data. These forms use a standard format but can be customized to include only the data elements important in your data entry. One data entry form will be provided free of charge but others can be requested for different purposes. For instance, you may have one form designed to work with search response cards but another for use with college fair responses. If you're interested in testing this new functionality, contact 422 Group Support atsupport@422group.com. This functionality will made available initially to only a limited number of clients. Additional information is available in the User Guide.

To see this functionality in action, click any of the social network links above or refer to the Social Networking content in the User Guide.
Campaigns: Portfolio for Content Storage

Imports: Passcode Parameter for Standard Import
As announced in June 2009, the Standard Import will require a passcode to be included with your file beginning with the August release. Data files uploaded without this passcode will not be imported. Passcodes will be sent to all CRM Administrators next week so that you can begin including the data. Please begin using these right away! We'll begin monitoring imports in mid-August to make sure you're using them before making them required.

Events: Flexible Session Options
A new option for Sessions has been added to make your events more flexible. When creating an event with Sessions, you now have the option to hide the Session Date/Time from the constituent. This allows you to create a Session Type, for instance, called 'Campus Tour' with Sessions avialable such as '11:00 AM Tour' and '1:00 PM Tour'. The constituent will be able to select the appropriate choice without being confused. Itinerary reports have also been updated with this change.

Graduation Year

You'll see these available from the 'Code Snippets' list in your Message Editor.
Events: Managing Incomplete Registrations
A change has been made so that students who abandon their registration before submitting will still be saved, but listed as a 'Cancelled' Registration. This will help avoid confusion for those that start, stop, and then create new registrations. The information will still be imported into CRM, but with a Cancelled activity.
Events: Email Address Confirmation
The Event Registration form will require the student to enter their email address twice, validating that the address was entered correctly. This will help ensure quality data collection and feeds to CRM.

The new field, ImportPassword, will be required for all Standard Imports beginning with our August Release (8/28/2009). This value will be assigned to each organization and can be shared with anyone charged with managing data imports. New Analytics Features
Several new features are being deployed for Analytics including:

Dashboard Report: Now includes a funnel for the end of cycle goal. This new funnel complements the existing funnels for "Enrollment Funnel - Current" and "Goal Class -to-Date" and provides reference numbers for the lower portion of the gauges.

Comparison Report: The distribution page has been renamed named to "Comparison" and allows you to select two cohort/date combinations along with a single set of filters, selectable row value and data type/calculation. The table compares the distribution of the selected data for the two cohort groups. It also calculates the difference in student counts and the changes in Percentage or Sum or Average. This new format will make it very easy to address questions like – so I am down 10% among women - how does that fall out across ethnicity, or state or market?

Multi-select drop down: Throughout the Analytics module you can now select multiple values from a drop down list. This allows you to select, for instance, multiple Entry Terms, Majors, or Ethnicities when filtering your data.

Further detail on the Analytics reports is available in the User Guide.

Waiving Requirements
When Opportunity Requirements are waived (using the checkbox on the form), the date is now automatically populated to indicate when the requirement was waived.
