First Activity

What is a First Activity?
 
First Activity is a field on the Opportunity record used to note the prospective student’s first method of contact with the institution.  The First Activity is Opportunity-specific and may vary if the student has multiple Opportunities.  First Activity may be used in Advanced Find and for other reporting purposes. First Activity may be viewed on the Prospective Student tab of the Opportunity record.

How is the First Activity field populated?

Whenever a new activity is created, a process checks the following:

  • Is this activity eligible as a first activity?
  • Is the first activity field on the Opportunity record empty?
If both conditions are true, the First Activity field is populated with a reference to the activity.
If the First Activity field already has a value, no action is taken.
If the First Activity field is blank and the activity is not eligible as a First Activity, the First Activity field will remain blank.
If desired, First Activity may also be populated through the Standard Import process.  If the First Activity field has a value in it, then new activities added will not change that value. An import will not overwrite an existing First Activity.(See Standard Import documentation for more information on imports.)
 
What determines if an Activity is eligible to be a First Activity?

All activity values have an indicator flag that determines whether or not an activity is eligible as a first activity. Administrators can view this flag from  Settings --> Domains  --> Activity Values  --> Can Be First Activity (Y/N).

When new activity values are requested, please indicate whether or not the activity is eligible as a first activity.
 
What activity types are included in the process for populating the First Activity field?
 
The following activity types are included in the process for populating the First Activity field:
  • Task
  • Phone call
  • Email
  • Fax
  • Letter
Appointments, Events*, and Campaign Responses are not reviewed in the First Activity process.
 
*NOTE: “Event” activity types are a function of Microsoft Dynamics CRM and are not related to the activities that are created from the Event Registration Manager module. Activities that are created through the Event Registration Manager module come into Enrollment Manager and appear on the record as “Task” activity types.  Tasks ARE eligible in the First Activity process.
