Sunset FAQ for stand-alone EM Users

Ruffalo Noel Levitz will no longer offer Enrollment Manager as a stand-alone CRM system for admission offices effective October 1, 2017.
We will continue to provide technical support for our stand-alone Enrollment Manager clients until October 1, 2017. This includes providing best practice guidance on existing functionality and resolving technical issues that arise from the use of the system. There will be no further product enhancements to the core Enrollment Manager platform.

Why this change?

In an effort to focus on our core business of delivering enrollment services, we have made the difficult decision to shift all of our resources toward the sole use of Enrollment Manager as an internal platform. Enrollment Manager will continue to be the primary system used to manage campaigns on behalf of our clients.

What does this mean for my institution?

Clients will be required to migrate to a new admission and recruitment system. We recognize the time it takes to identify and transition to a new system. We will continue to support your use of EMP and your transition until October 1, 2017. Clients utilizing Ruffalo Noel Levitz services will continue to utilize EMP to access service campaign dashboards and data exports after this date.

What about product support?

How will I transition my data?

To assist you in transitioning to a new system, we will provide a backup of your data from our data warehouse. This data is formatted in a way that eases integration by using a simplified data structure. As part of your transition, we will offer this data to you three times.  We will provide a copy for planning purposes, a conversion copy, and a final copy after your transition is complete.  This data will be placed in your ftp folder (same location as your daily standard export). The timing of your three data files can be negotiated with your Enrollment Operations Manager.

 What data is included in my warehouse backup?

 The warehouse backup will include current and historical student data as well as Person data associated with relationship records. This will not include the following:

·         Organization data (high schools and colleges) is not included in the data warehouse. This data is available for download using the RC - Org Report. After running the report, results can be exported to Excel or as a comma-separated value (.csv) file.

·         Some child records including Interactions, and Web Intelligence are not included in the warehouse but are available for download using an Advanced Find view.

·         Event Registration information is not included in the data warehouse but can be exported using the Event Date Export report.

·         Travel Management historical records are not included in the data warehouse but can be exported using Advanced Find.

·         Email content (HTML, Templates, Mailing Definitions, etc) are not included in the data warehouse but can easily be copied as needed from EMP. Email systems are all different and will require manual intervention to update merged content.

Can you recommend another system for us?

While there are several systems on the market, it will be up to you to find the one best suited for your organization. Each client is unique in terms of the functionality that provides the greatest value  (marketing, application evaluation, online/social integration). Our goal is to provide you with the information necessary to make your transition to any vendor as easy as possible.
